Visitors to our website

When someone visits our website we collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. We collect this information in a way which does not identify anyone. We do not make any attempt to find out the identities of those visiting our websites. We will not associate any data gathered from this site with any personally identifying information from any source. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it.

People who use our services

Crimson Crab offers various services to businesses. We have to hold the details of the people who have requested a service in order to provide it. However, we only use these details to provide the service the person has requested and for other closely related purposes. In line with HMRC requirements we retain this information for six years and then securely dispose of it.

Where enquiries are submitted to us we will only use the information supplied to us to deal with the enquiry and any subsequent issues and to check on the level of service we provide.

To provide some of our services we may use carefully selected partners. In these instances we may share some personal data solely for the purpose of providing the service and for no other reason at all. Where we do share personal details we have written data processing agreements in place.

Crab Insight

We use MailChimp to deliver our monthly Crab Insight on all things reputational to people on our VIP list. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve Crab Insight.

Individuals are only added to our VIP list if they sign up through our website or opting in on a Crimson Crab document. We always obtain specific verbal consent in other situations. When people subscribe to our VIP mailing list, they can cancel their subscription at any time and are given an easy way of doing this.

F2 Business Huddle

We use MailChimp to administer our monthly F2 Business Huddle meetings. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve the communication about the Business Huddles.

Individuals are only added to our list if they sign up through our website or they opt-in on our booking form or they specifically ask us to add them to the list. We always obtain specific verbal consent in other situations. When people subscribe to our F2 Business Huddle mailing list, they can cancel their subscription at any time and are given an easy way of doing this.

We also use a booking form on our website to facilitate bookings and notifications of non-attendance.

Automated Emails on Compliance Matters

We use MailChimp to send emails giving compliance hints, tips and guidance.  We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve the communications.

However, you need to be aware that the provider is based in the United States a country outside the EU.

MailChimps servers are located in the United States, so your information may be transferred to, stored or processed in the United States.

MailChimp take many steps to protect privacy and has certified its compliance with the EU-US Privacy Shield Framework.

Reputation Academy

The Reputation Academy is delivered through a Cloud Based Portal provided by Moodle Pty Ltd.

Individuals are only given access to the portal if they request it through our website or they specifically ask us to add them to it. The login procedure for the portal provides privacy information.

People who we communicate with by email

We process and retain the personal data contained in emails to respond appropriately to the subject matter.  Please be aware that any emails we send or receive may not be protected in transit.

Suppliers

We keep contact details of our suppliers and records of diligence checks for our legitimate business interests.

People who are dissatisfied with the level of service provided by a Reputation Advocate

If we receive a complaint from a person we make up a file containing the details of the complaint. This normally contains the identity of the complainant and any other individuals involved.

We will only use the personal information we collect to process the complaint and to check on the level of service we provide.

We need to disclose the complainant’s identity to the Reputation Advocate that the issue is about. If a complainant doesn’t want information identifying them to be disclosed, we will respect that. However, it may not be possible to handle a complaint on an anonymous basis.

We will keep personal information contained in complaint files for two years from closure. It will be retained in a secure environment and access to it will be restricted according to the ‘need to know’ principle.

Your rights

You have the right to request:

  • information about how your personal data is processed;
  • a copy of that personal data;
  • that anything inaccurate in your personal data is corrected immediately

You can also:

  • raise an objection about how your personal data is processed
  • request that your personal data is erased if there is no longer a justification for it
  • ask that the processing of your personal data is restricted in certain circumstances
